What is Wordbee Translator?
 
Wordbee Translator is a web site that supports translators, translation agencies or corporations with translating files of various formats. For example, you can translate web pages without having to understand HTML. Translation agencies that work with in-house staff and/or external translators will benefit from easy-to-use tools to distribute work internally and externally.

In more technical terms, Wordbee Translator combines professional CAT functionality and translation project management into one single workspace. You can use translation memories and terminology databases to speed up translation and ensure consistent use of terminology

Wordbee Translator is a collaborative platform. Thanks to the central storage of your documents, translation memories and other data, your translators and revisers can work on texts simultaneously. Instead of sending revision notes and document versions, users directly comment, bookmark or flag pieces of text. All changes are seen by the (authorized) team members in real-time. Finally, project managers can follow up work in real-time. Wordbee Translator is a time saver.

Please note that Wordbee Translator is NOT a machine translation or automatic translation tool. It does not translate for you.

How do I access Wordbee Translator?
 
Wordbee Translator is accessed at www.wordbee-translator.com. In order to login you need to be subscribed to the service or use a trial account.

With the Freelancer Edition (regular or trial) you obtain from us a unique Account ID that identifies your workspace and your personal login and password. You can change your login/password anytime. Account ID, Login and Password must be entered in the login page.

With the Team Edition (regular or trial) you get a unique Account ID that uniquely identifies your company and an administrator login and password. Login with these credentials. Once logged in you can add more logins and passwords for your team. The number of logins is limited by the subscription you chose.

Your workspace at Wordbee is secured and only you and your team can access it.

Can I try out the system? 
 

Yes, if you want to see the product in action before deciding to sign up please ask for a free trial account using the trial request form.

Trial accounts are limited in time (30 days) and use is for testing purposes only.

How do I become a regular user?
 

To become a regular user please buy a subscription from the Pricing page. Choose the best pricing plan that matches your needs and then either pay online or an invoice can be sent to you.

How do I translate?
 

Once you are logged in, you create a project and upload all files to translate to that project. Then select a document and a page opens that shows all texts to translate in a web page. Simply type the translations into this web page, one phrase after the other.

If the work needs to be sent to another person, simply create a task, and then select the translator (or reviser). The translator will see the task when they log in, can select the document, and begin to type the translations.

Once this work is finished, Wordbee Translator builds the final translated file by preserving any formatting. This works for most common formats such as Word, Excel, Xml, Html, Adobe InDesign, PowerPoint, Rtf, etc.

Wordbee Translator extracts translatable texts for you. It segments texts according to SRX segmentation rules that can be freely customized. Segmentation can be easily changed in the translation user interface.

What about SPELL CHECKERS?  

Spell checkers for almost all languages are available as browser plug-ins. Please check your browser version and install a spell-checker. Wordbee Translator smoothly integrates with browser spell-checkers.

The current versions of Internet Explorer do not come with a spell checker out of the box. The plugin below works but is very difficult to get working. We recommend the use of another browser if you need spell checking. Plug-in, free for non-commercial use:

What are the advantages and disadvantages of your web based CAT tool? 

The first advantage is that you do not need to install any software. No more compatibility issues, software upgrade costs, annoying software protection mechanisms and the obstacles when switching computers or working from different places. No expensive software needed!

Secondly, all your documents, projects, tasks, translations, revisions are stored in one secured central place. There is no need to send documents or translation memories by email. Actually you do not need to send anything by email anymore. You and all your team members (Team Edition only) work "inside" this workspace.

What about costs?

We carefully adjusted our prices to make them attractive and to ensure a potentially significant return on investment (ROI) for you or your company. We do not charge any upfront or set-up fees. All you pay is a yearly fee per login. With the Team Edition, you are entitled to give logins to all your clients at absolutely no cost.

Can I still use my current tools?

Yes you can. If you require a team member to work with Tool XY then create an "Offline Translation Task" within the system. When the translator selects the task and starts work, he/she actually downloads the file to his/her PC for translation with Tool XY.

Layout tasks work in the same way: An Adobe InDesign document can be translated online with Wordbee but, in case the translation needs adaptation or localization of layout, you need to open the file in the InDesign application. Create an "Offline Layout" task, route the task to the layouting person, who downloads the file, adjusts layout on the PC and then uploads the final version.

The great thing: Online translation and offline tasks can be combined freely.

Why would I prefer working online to working with software?

There are many advantages. First, you do not need to worry about software updates or software maintenance plans: You always work with the latest version of Wordbee Translator and you instantly profit from all improvements we add. Secondly, you are not bound to just one PC. A PC can crash and loose data, your work saved with Wordbee is safe within our servers.

Then, you can work from wherever you are, at the office, at home, near a WIFI hotspot... A computer with a web browser is sufficient. With HTTPS and SSL we ensure that all data is encrypted.

Finally, if you are managing projects, you will enjoy the simplicity of having all data well organized in one place, accessible from anywhere

But do I need a fast and stable Internet connection?

Yes, in order to work with Wordbee Translator you need to be connected to the Internet. If you lose your connection, you need to wait until the connection is reestablished. However, at any point in time you can download the current version of your translations and work offline, e.g. by using Microsoft Word

The Internet connection should be cable, ISDN or DSL. A dial-up connection is not sufficient.

Wordbee also offers the installation of Wordbee Translator at client premises. Please contact us if you are interested in such as solution.

What are advantages for translation agencies? 

We built a system that seamlessly combines CAT tools, management/workflow tools and collaborative functionality. The system stores all texts to translate centrally in your workspace and all authorized team members have access to these texts in real-time and simultaneously. If you dispatch a text to a translator you do not send out the text, but instead you give controlled access to the centrally stored text to this specific translator.

This central storage means:

Translators and reviser see and change the same texts simultaneously. A comment added by one is instantly visible to the other.

It is possible to follow up work progress in real-time such as for amount of text translated or revised.

How do I share translation memories?

Translation memories are stored in your online workspace. For each project or task you define the memories to share and an authorized translator/reviser has instant access from the translation interface. You will never have to send out memories or merge memories received from translators with your master memories.

Can I import my existing translation memories into your system? 

Yes, you can. Simply export your memories in TMX format (v1 or v2) and then upload these to Wordbee Translator. which has a TMX import function.

You can also export memories from Wordbee Translator to TMX.

By using Wordbee Translator you are not locked in! You can still use other tools and programs as you normally would, with Wordbee acting as a convenient storage and organizational aid.

What do I need to install in order to use your system?
 
You do not need to install any software. All you need is one of the newer web browsers, such as Internet Explorer 8, Firefox 3.5 or Chrome 3, Safari 4 or later. See the next topic for recommendations.

Wordbee Translator works with PCs, Macs or Linux systems. An average computer is sufficient.

Your screen resolution must be at a minimum of 1024x768 pixels, though a higher resolution will improve usability (we recommend 1280x1024 pixels or more)

You do not need to have Microsoft Word installed in order to translate Word documents. The same holds true for all document formats we support.

Which browsers do you support?
For an optimal user experience, we recommend the following browsers:

Do you also support Macs or only PCs? 

Yes we support Macs too. We recommend and support Wordbee Translator for use of Safari 4 and Firefox 3. We also support Linux based systems using Firefox.

Do all translation memories remain my own?

Users have full, private and exclusive ownership of all data they upload or produce in the system. This includes your translation memories, terminology, documents and all your translations. These data is neither used by Wordbee nor shared with any other Wordbee users.

Can I download my translation memories?
 
Wordbee supports the TMX standard for uploading and downloading translation memories. Translated documents can be downloaded as TMX files as well.

Are documents I translate aligned?
 
When uploaded to Wordbee Translator, your documents are split into segments (e.g. paragraphs or sentences). You then translate one segment after the other. The advantage? All your translations are aligned, can be instantly used as translation memories for future projects, and, even be downloaded as TMX files.

What do I get with the Freelancer Edition?
 

With the Freelancer Edition you obtain your personal Account ID, Login and Password to access your own workspace at www.wordbee-translator.com.

From there you have access to the full range of features with the exception of the team work tools: You cannot add more logins to your workspace or dispatch work to other people.

Some of the things you can do: create projects; upload documents to translate; translate online all supported documents; import, export, manage translation memories and terminology databases. See the feature list for more information.

This edition entitles you to occupy up to 150 MB of space for your documents and linguistic resources ( translation memories, glossaries ...). If you reach your space limit, you can either backup older projects to your PC and then delete them from Wordbee Translator or buy more space. For prices please contact us.

What do I get with the Team Edition?
 
 With the Team Edition you have access to the full range of features including all team work tools such as for creating and dispatching tasks to team members and/or clients. See the feature list for more information.

Upon subscribing you obtain a company Account ID which uniquely identifies your workspace. You and your team members must specify this Account ID when logging in at www.wordbee-translator.com.

We create a standard login for you with administrative rights. With this login you administer the platform, setup logins for your team & your clients, define access rights, parameter word counting, text extraction and segmentation rules, etc.

In terms of disk space, each Team Edition entitles you to occupy up to 150 MB of total document space for each standard login. If ever you exceed this space limit, you can either backup older projects to your PC and then delete them from Wordbee Translator or buy more space. For prices please contact us.

You use a floating license model. How does it work? 
 
 All Team Editions use a floating license model. This model permits you to add any number of users (logins) to your workspace but it limits the number of users that can be logged in simultaneously. For example, you might have a network of 100 freelancers but not work with more than 10 each week. In such a scenario you should opt for 10 floating licenses for your externals.

To decide which users can work at a given time, you need to "enable" the logins of those currently active and "disable" those that are not currently working for you. You can enable/disable logins by selecting a user from the administrative pages. Although this system may involve a few clicks each week, it gives you better control over who has access to the information.

If a user with a disabled login attempts to login, he/she will be informed that access is disabled at this moment.

With your license you further obtain your private and customizable client portal. Create logins to this portal (referred to as the "client portal logins") for all your clients and at absolutely no charge. With this portal your clients can submit requests, follow-up work, chat with you and download deliverables online.

You say that I can give free logins to all my clients? How?
 
 Absolutely! With each Team Edition you can obtain your private and customizable client portal. Create logins for some or all your clients at no charge (you can even create multiple logins per client). Your clients connect to your secured portal to submit requests, communicate, validate costs, confirm your proposals and ultimately download deliverables. Client portal logins are different from your inhouse/external logins: They do not permit clients to translate/review online.

If you want a client to do online review/translation work, then you would need to allocate a regular external login to this client.

What is the difference between Standard Logins, External Logins and Client Portal Logins?
 
 Client Portal Logins do not cost you anything. They enable your clients to submit requests and download deliverables from your personalized Wordbee client portal. Client portal logins do not give access to any of the translation features.

External logins have very limited access rights within your workspace and are perfect for freelancers and LSP suppliers of your company. Standard logins on the other hand can be given many more rights that in-house staff typically requires. For example, a team leader needs to be able to see all your company projects. An in-house translator might be able to see the client of a project, etc.

External logins are for freelancers, LSPs and even clients (if doing online review work). A user working with an external login can exclusively see work given to him/her in the framework of a task. A task is a set of documents to translate/revise, a deadline and other information. External logins have no access whatsoever to any other data such as client details or other tasks or projects.

Standard logins are for in-house staff. You can specify what rights each user has. For example, a "manager" can create new jobs, a "worker" cannot. Wordbee Translator enables you to specify access rights in detail.

The number of inhouse and external logins is defined by your license. Client portal logins are always unlimited.

What if I need more licenses/logins?
 
 

You can subscribe anytime for more floating licenses. Prices are attractive and decrease according to the total number of licenses purchased. Please contact us for a quote.

There may be situations where you might want to reduce your total number of licenses. Simply contact us and we will subtract the value of these logins from your future subscriptions (e.g. when you prolong your subscription the subsequent year).

We do not charge any setup fees for adding or removing licenses from your subscription.

Can I freely attribute my logins to the freelancers I currently need?
 

Yes, since we use a floating license model, you would proceed as follows:

Add all your freelancers to your workspace. If you need to work with a specific freelancer simply enable his/her login just before they sign on. In the same way, disable a freelancer's login if you are not currently working with him/her.

If you never work with more than 15 freelancers at a time, then only subscribe to 15 external logins. Of course, activating logins dynamically this way may add a little more administrative work for you, but it allows for more control over who has access to translations and projects, and eliminates the need to email each freelancer individually with the information.

Yes you can add an unlimited number of freelancers with their full profiles (including pricing information) to your workspace. However you can only give concurrent access to the number of freelancers that your subscription allows for.

It is up to you to decide which freelancers do and don't have active logins at any given time.

Freelancer Edition

The Freelancer Edition entitles you to one login. You can change your login and password from your workspace admin tool.

Team Edition

The Team Edition entitles you to one administrative login to your workspace plus a specific number of additional internal and external logins. With the administrative account you add all logins yourself. You do not need to contact Wordbee for that. It is your responsibility to communicate login/password details to your staff. A person that is not authorized by you cannot access your workspace.

All team members login to your Wordbee Translator at www.wordbee-translator.com or www.wordbee-translator.com/a/YourAccountID.

They are required to type the account ID (usually your company name), and their individual login and password.

Team Edition: How can I control external and in-house logins?
 
 When subscribing to the Team Edition you receive a single administrative login. With this login you can customize your workspace and add, remove, lock or change all logins and passwords of your inhouse and external team.

At no point would you need to contact Wordbee for the management of your team logins.

Can I block/disable logins myself?
 

Yes, you can disable (and re-enable) logins at any time. Any Wordbee subscription model permits a specific number of logins and we do not count disabled logins.

Do you encrypt my data?
 
 Encryption:

All user authentication information is transmitted over the internet and stored in an encrypted form. All data, documents, translation memories and web pages are transmitted over the internet and stored in an encrypted form if you tick this option on the login page ("[ ] Use secure connection for all pages").

How do you ensure physical security of my data?
 

Physical Security:

The Wordbee Translator application is hosted at one of the major Data Centers in Luxembourg which provides the physical environment necessary to keep the servers up and running 24/7.

These world-class facilities are custom designed with raised floors, HVAC temperature control systems with separate cooling zones and seismically braced racks. They offer the widest range of physical security features, including state-of-the-art smoke detection and fire suppression systems, motion sensors, 24/7 secured access, video camera surveillance and security breach alarms.

Data storage:

Each Team Edition account has its data stored in a dedicated database instance and file server location. Data of an account is totally isolated from each other on multiple levels throughout the system.

How often do you backup my data?
 

All data is backed-up daily. Backups are stored in a physical location different than that of the Wordbee Data Center.

Can I download all my data to my PC?
 

Yes you can download all documents and translation memories from Wordbee Translator at any time.

On request and for a small fee we can further transfer all your data to a DVD and send it to you.

What happens to the documents and TMs if an account expires (becomes delinquent or is resiliated)?
 

When an account is closed or expires, we physically delete data 6 weeks later. A user can request re-activation of the account prior to physical deletion for the purpose of downloading his/her data.
